1. General Terms
At Vityalaya Yoga, we strive to provide a safe, welcoming, and respectful environment for all participants. By engaging in our yoga and wellness services, you agree to the following terms, ensuring mutual respect and clarity of expectations.

Participant Consent: By purchasing any yoga or wellness package or attending any class, you agree to abide by Vityalaya Yoga’s policies and terms. This includes, but is not limited to, following the health and safety protocols, respecting studio property, and complying with any government-mandated health regulations that may be applicable.

Waiver Requirement: Before attending any class, clients must complete a waiver and provide accurate health information. This ensures that our instructors are informed of any relevant medical conditions or physical limitations that might affect your participation.

No Refund Policy: All payments made for classes, sessions, or packages are final and non-refundable, regardless of circumstances such as missed classes, changes in personal schedules, or dissatisfaction with the services. This policy allows us to maintain fair pricing and a high level of service without fluctuating conditions.

Refund Exception for Illness: In exceptional cases, such as a serious illness or injury, refunds or extensions may be granted. However, official documentation such as a medical certificate must be provided to qualify for this exception. Extensions may be offered in the form of additional class credits or a package pause.

Changes to Terms: Vityalaya Yoga reserves the right to modify class schedules, package pricing, or these terms without prior notice. Clients will be notified of any major changes via email or the website. Changes will not affect previously purchased packages but may apply to renewals or new purchases.

2. Client's Responsibilities
Clients are expected to uphold their responsibilities to ensure a smooth and enjoyable experience for all.

Online Booking: Clients are responsible for booking their classes, sessions, or services through the Vityalaya Yoga website. Timely and accurate bookings are crucial for maintaining an organized schedule and allowing others to plan their participation accordingly.

Arrival: Clients should arrive at least 10 minutes before the start of their class to allow sufficient time to settle in. Late arrivals may disrupt the session and may not be permitted to join once the class has begun, ensuring a calm and focused environment for all participants.
3. Booking Policy

Booking Requirement: All classes and services must be booked in advance through the Vityalaya Yoga website. This helps manage class sizes, ensures availability, and maintains an organized schedule.

Booking Confirmation: Clients will receive a confirmation email once their booking is successful. It is the client’s responsibility to verify the details of the booking.

Booking Modifications:
Morning sessions: Clients must make their booking and, if necessary, cancel or modify it at least 12 hours before the scheduled start time.
Evening sessions: Clients must make their booking and, if necessary, cancel or modify it at least 6 hours before the class starts.
Private Sessions, Ice Bath, Sound Bath, Breathing & Meditation Sessions: Clients must make their booking, and if necessary, cancel or modify it at least 24 hours before the session

Missed Bookings: If a client misses a booking without proper cancellation notice, the session will be marked as attended, and no refund or rescheduling will be provided.
4. Payment Policy

Payment Timing: Payments for all services, including single classes, packages, private sessions, workshops, and memberships, must be made in full at the time of booking. We accept payment through various methods including credit cards, debit cards, and online banking.

No Refunds: Payments are final and non-refundable. Refunds will not be issued for any unused services, missed appointments, or cancellations made outside the allowable timeframe. Clients must ensure they can commit to their chosen package duration before making a purchase.

Non-Transferable Payments: Payments are non-transferable. This means that once a class or package has been purchased, it cannot be transferred to another individual or converted into a different service. This policy helps maintain the integrity and fairness of the studio’s pricing structure.

5. Cancellation and Rescheduling Policy

Class Cancellations: If a client needs to cancel a scheduled class, they must do so at least 2 hours before the class begins. Cancellations made less than 2 hours before the scheduled start time will result in the class being marked as attended and no credit or refund will be issued. This policy ensures that classes are optimally filled and prevents last-minute absences from affecting others.

Private Sessions and Ice Bath, Sound Bath, Breathing & Meditation Session Cancellations: For private yoga sessions, ice bath and sound bath appointments, a minimum of 24 hours’ notice is required for cancellations. Failure to cancel within this time will result in the session being charged in full. This notice period is designed to give other clients the opportunity to book these high-demand services.

Illness and Emergency Exceptions: In cases of illness or unforeseen emergencies, cancellations may be permitted with less than the required notice if a valid reason is provided. Clients must submit a doctor’s note or other official documentation to avoid having their session marked as attended.

No-Show Policy: If a client fails to attend a scheduled class or session without prior notice (a "no-show"), the session will be counted as used, and no rescheduling or refund will be allowed. This policy ensures that instructors can plan their sessions effectively without disruptions.

6. Plans & Pricing's Validity and Extensions

Validity Period: All pricing plans have specific validity periods starting from the date of purchase. The validity periods are as follows:

Single Class : Valid for 7 days from date of purchase.

5-Sessions : Valid for 30 days from date of purchase.
-
10-Sessions: Valid for 60 days from the date of purchase.
-
20-Sessions: Valid for 120 days from the date of purchase.
-
50-Sessions : Valid for 180 days from date of purchase.
-
100-Sessions : Valid for 365 days from date of purchase.
-
Monthly Unlimited Yoga: Valid for 30 days from the date of purchase.
-
Annual Wellness Membership: Valid for 12 months from the date of purchase.
-
Monthly Kid's Yoga : Valid for 30 days from date of purchase.
-
3-month Kid's Yoga : Valid for 90 days from date of purchase.
-
Monthly Prenatal & Postpartum Yoga : Valid for 30 days from date of purchase.
-
3-Month Prenatal & Postpartum Yoga : Valid for 90 days from date of purchase.

Breathing & Meditation : Valid for 30 days from date of purchase.

Ice Bath : Valid for 14 days from date of purchase.

Sound Bath Healing : Valid for 30 days from date of purchase.

Expiration of Packages: Classes and packages must be used within their respective validity periods. No extensions will be granted unless the client can provide a medical certificate demonstrating their inability to attend classes due to illness or injury. Once the validity period has expired, any unused sessions will be forfeited.

Extension Policy for Illness: In cases where clients are unable to attend due to illness or injury, extensions may be provided in the form of class credits or a temporary pause on the membership. Clients must submit a request for an extension before the expiration date and include supporting medical documentation. Extensions will not exceed 30 days unless otherwise approved by studio management.

7. Cancellation Policy for Unlimited and Yearly Memberships

Notice for Cancellation: For clients with Unlimited Monthly Memberships and Yearly Wellness Memberships, a 1-month written notice is required for any cancellations. The cancellation notice must be provided via email or written request to the studio management. This policy ensures that both the studio and the client have sufficient time to process the cancellation without disrupting the services provided.

No Prorated Refunds: Clients who cancel their unlimited or yearly membership will not receive prorated refunds for any unused portion of the membership. The membership will remain active until the end of the cancellation notice period (1 month from the date of notice).

8. Health and Safety Requirements

Disclosure of Medical Conditions: Clients are required to disclose any pre-existing medical conditions, injuries, or physical limitations that may affect their ability to participate in yoga or cold bath therapy sessions. This information must be communicated during registration and kept up to date.

Instructor Discretion: Instructors reserve the right to deny participation to any client they believe is unfit to attend a session due to health reasons or safety concerns. This decision will be made in the best interest of the client’s well-being and the safety of the group.

COVID-19 Health Protocols: In light of ongoing health concerns related to COVID-19, Vityalaya Yoga enforces strict health and safety guidelines. Clients are required to follow these protocols, which may include mask-wearing, social distancing, and temperature checks. Failure to adhere to these protocols may result in a temporary suspension from attending in-person classes.

9. Prana Room (Breathing & Meditation, Sound Bath) and Ice Bath Services

Access to Services: The Prana Room and Ice Bath services are only available to clients who have purchased specific packages that include these services. These services are designed to enhance relaxation, support physical recovery, and provide a holistic wellness experience.

Ice Bath Session Guidelines: Clients participating in ice bath sessions must follow all health and safety instructions provided by the studio staff. Failure to adhere to the guidelines may result in injury or other health complications, for which Vityalaya Yoga is not liable.

Non-Refundable Services: Ice bath sessions are non-refundable and non-transferable. If a client needs to cancel or reschedule a cold bath therapy appointment, they must do so at least 24 hours in advance. Failure to provide adequate notice will result in the session being forfeited.

10. Workshops, Events, and Retreats

Pre-Booking Required: Workshops, events, and retreats must be booked in advance as space is limited and spots are allocated on a first-come, first-served basis.

Cancellation Policy for Workshops/Retreats: Clients who wish to cancel their participation in a workshop or retreat must do so at least 48 hours in advance to be eligible for a class credit. No refunds will be issued for cancellations made within 48 hours of the event or for no-shows.

Virtual Workshops in Pandemic Situations: In the event of a pandemic or similar situation, workshops and classes will transition to a virtual format. Clients will not receive refunds for this change but will be given access to all online classes and content, ensuring continuity of service during disruptions.

11. Pandemic or COVID-19 Situations

Online Class Transition: In the event of a pandemic or government-mandated shutdown, all in-studio classes will transition to virtual classes. Clients will continue to have access to online yoga and wellness sessions, with instructors delivering high-quality virtual content through live or recorded classes.

No Refunds for Transition: During the pandemic or similar circumstances, no refunds will be issued for ongoing packages or memberships. Clients will receive access to online classes in lieu of in-person sessions. Vityalaya Yoga aims to provide a seamless transition to virtual classes, ensuring that all clients can continue their practice during periods of physical studio closures.

Health and Safety Compliance: Clients must follow all health and safety guidelines issued by the studio during pandemic situations. This may include reduced class sizes, social distancing, mask requirements, or health screenings before entering the studio.

12. Changes to This Policy
